Dear Event Organiser,
Given that the BJA have enforced the usage of the care system at ranking and national events and that the BJA understand that purchasing of several care systems in each area maybe cost prohibitive, the BJA have purchased the required systems in order to allow all national and ranking events to operate with the system without areas needing to buy it.
However, this significant investment by the BJA needs to be financially protected against damage or loss by those people using it in order to ensure that the systems are available for the next area requiring them in a complete and full working order. Therefore, an Area organised event that requires the care system must indemnify the BJA for the full systems borrowed from the time of leaving HO until their return. This means that should any item(s) become damaged or lost in the period from when they leave HO until their return, the organising Area will be responsible for the repair or replacement of the affected item(s). Item(s) that become faulty due to wear and tear issues during normal usage will not be chargeable to the Area, the sole decision maker on breakages and losses will be the BJA Events and Competitions department who will check item(s) out and back in to HO.
Area's borrowing equipment will be totally responsible for the safe transport of the systems out of and back to HO, it may be possible that a responsible person from HO or otherwise appointed by the Area, transports the equipment to the venue and back again, but the financial responsibility remains with the Area borrowing the equipment until the equipment is returned and checked for quantity and quality at HO.
Should special transportation facilities be required, the Area are responsible for arranging, managing and financing these, as well as any losses or damages that maybe incurred.
The borrowing Process:
The Area committee must authorise an appointed individual to borrow the equipment on their behalf. This should be sent to events@britishjudo.org.uk by the Area Chair or Area Secretary.
The Area must complete the CARE System Hire Form at least 4 weeks prior to needing the equipment.
The systems will be dispatched and returned in line with the Areas arrangements. The BJA will check items for quantity and quality before dispatch and on return to HO.
Any item(s) not returned within 5 business days of tournament end or by the date agreed will be invoiced to the Area.
Any items damaged or missing on return will be identified on the loan form and invoiced to the area when costs are known.
Any costs to an area will be deducted from the area grading rebates. An invoice will be created to quantify and display charged costs to the Area.
