Vacancy - Welsh Judo Association

The WJA is presently looking for a self assertive, self motivated individual to fulfil the position of Office Assistant. As first point of contact for the Association, we are seeking a person with a pleasant and helpful demeanour who can multi-task and has efficient organisational skills. Previous office skills are highly prioritised.

General Purpose of the Post: To support the General Manager in the administration of the Welsh Judo Association.

 

Duties:

•  Provide the contact point for the Association and respond to general queries.

•  Provide secretarial support to the General Manager.

•  In conjunction with the squad managers and coaches, administration of national squads, including making arrangements for travel where appropriate

•  Maintenance of an up to date filing system.

•  Provide secretarial support for Board, Committee and Commission meetings, where required, including Agenda and Minute preparation.

•  Maintenance of the WJA Database and accounting for licence fees, including preparation and despatch of lists, circulars and letters.

•  Typing, printing and distribution of the WJA newsletter.

•  Issue, receipt, acknowledgement of WJA organised competition entries.

•  Accounting for entry fees for WJA organised competitions.

•  Preparation of paperwork (weight cards, entry lists, tickets, badges, certificates etc) arranging medals, booking accommodation etc. for WJA organised competitions

•  Receipt of entry forms and fees and preparation of paperwork for WJA Promotion Examinations.

•  Accounting for fees for WJA Promotion Examinations.

•  Administration of the Club Grading system.

•  Banking of incoming funds and accounting for same to the General Manager.

•  Maintenance of the WJA Website

•  Any other duties within the general purpose of the post as determined by the General Manager.

 
 

SPECIAL CONSIDERATIONS

Hours of work will be flexible and will depend on the need to accommodate fluctuating workloads.

The duties of the post may include attendance at meetings in evenings or at weekends.
